To keep every booking seamless and expectations clear, please review the following terms and conditions before confirming your session with Punctual Lens Imagery®

1. THE RETAINER (Booking Confirmation)
A booking is only confirmed once the 50% Non-Refundable Retainer is received.
• Protocol: Until this retainer is cleared, the date remains open to other clients.
• Refund Status: The retainer covers booking administration and pre-production planning and is non-refundable in the event of client-initiated cancellations.
2. FINAL BALANCE SETTLEMENT
The remaining balance is due on or before the day of your session.
• Late Payment: Failure to settle the balance by this deadline may result in the automatic cancellation of the session and forfeiture of the retainer. We do not accept payments on the day of the shoot to ensure focus remains entirely on production.
3. CANCELLATION & RESCHEDULING
• Client Cancellation: If you cancel the session, the retainer is forfeited.
• Rescheduling: You may reschedule once with 7 days’ notice. Less than 7 days’ notice will incur a £50 Rescheduling Fee.
• Photographer Cancellation: In the rare event of photographer illness or emergency, you will be offered a priority reschedule or a full refund.
4. TIMING & PUNCTUALITY
• Session times are fixed. If you arrive late, the session will still end at the scheduled time. No extensions or refunds will be given for lost time due to client lateness.
• No-Show: Failure to attend without notice results in forfeiture of the full session fee.
5. ARTISTIC DISCRETION
By booking Punctual Lens Imagery®, you acknowledge you are familiar with our specific portfolio style.
• Creative Control: Final image selection, editing style, and color grading are at the sole discretion of the photographer.
• No Style Refunds: Refunds are not issued based on dissatisfaction with the artistic aesthetic (e.g., preference for “lighter” phone-style photos) if the work delivered is consistent with our brand portfolio.
6. RAW FILES & UNEDITED WORK
We deliver finished art, not raw ingredients. Unedited RAW files are not shared. They do not represent the finished standard of the brand.
7. IMAGE RIGHTS & USAGE
• Copyright: Punctual Lens Imagery® retains the copyright to all images.
• Client Usage: You are granted a licence for personal use (and commercial use where specified in your package).
• Marketing: We reserve the right to use images for portfolio and marketing purposes unless a Non-Disclosure Agreement (NDA) is signed prior to the shoot.
8. LOCATION LOGISTICS
The client is responsible for securing any necessary permits or access fees for their chosen location. Punctual Lens Imagery® is not liable for shoots halted by venue security due to lack of permits.
9. EMERGENCIES
In the event of technical failure, injury, or Emergencies that prevent the delivery of images, liability is limited to a full refund of monies paid.
10. PROFESSIONAL CONDUCT
We operate with a zero-tolerance policy for abuse or harassment. Any threatening or disrespectful behaviour towards the photographer or crew will result in the immediate termination of the session with no refund.
AGREEMENT:
By proceeding with the booking⧉, you confirm that you have read, understood, and agreed to these terms in full.

At Punctual Lens Imagery®, we operate on a strict schedule to ensure every client receives the focus and preparation their session demands. When you book a date, that time is removed from our inventory and is no longer available to other applicants.
By confirming a booking, you agree to the following terms:
1. THE RETAINER (Booking Fee)
To secure a session date, a 50% Non-Refundable Retainer is required.
• Purpose: This fee compensates Punctual Lens Imagery® for reserving the time slot, turning away other potential business, and pre-production planning.
• Refund Status: This Retainer is strictly non-refundable. It cannot be returned in the event of a cancellation by the client, regardless of the timeframe.
2. CLIENT CANCELLATIONS
If you need to cancel your session entirely:
• Notice of more than 14 Days: You forfeit the Non-Refundable Retainer. No further charges apply.
• Notice less than 7 Days: You are liable for 100% of the Total Package Price. At this late stage, it is impossible to fill the vacancy, and the full fee is due to cover the lost production time.
3. RESCHEDULING PROTOCOL
We allow one (1) courtesy reschedule per booking, subject to the following:
• Notice of more than 7 Days: You may transfer your Retainer to a new date within 90 days at no cost.
• Notice less than 7 Days: A Rescheduling Fee of £50 will be applied to move the date. The original Retainer remains non-refundable.
• Note: Any subsequent rescheduling requests will require a new Retainer.
4. PHOTOGRAPHER CANCELLATION
In the unlikely event Punctual Lens Imagery® cannot perform the service (due to injury, emergency, or equipment failure):
• We will attempt to secure a replacement of equal standard from our network.
• If a replacement cannot be found or agreed upon, a Full Refund (including the Retainer) will be issued immediately.
5. NO-SHOW POLICY
Clients who fail to attend the session without notice forfeit the entire session fee. The project is marked as closed, and no refunds or rescheduling options will be offered.
6. CREATIVE & ARTISTIC REFUNDS
Photography is an art form. By booking Punctual Lens Imagery®, you acknowledge that you are familiar with our portfolio and style (Cinematic/High-Contrast).
• Subjective Style: Refunds are not issued based on dissatisfaction with the artistic style (e.g., lighting choices, editing grade) if the work delivered is consistent with our portfolio.
• Technical Failure: In the rare event of data loss or technical corruption preventing delivery of the images, a full refund (plus Retainer) will be issued.
7. DIGITAL ASSETS
Once high-resolution files have been delivered (digitally or physically), the transaction is final. Due to the nature of digital media, no refunds can be issued after delivery.
8. POLICY AGREEMENT
By confirming a booking⧉ with Punctual Lens Imagery, clients agree to this Refund & Cancellation Policy in full.

We process your data based on Contractual Necessity and Legitimate Interest:
• To Execute the Contract: We use your contact details to schedule shoots and deliver galleries.
• To Create the Art: We process your Visual Data (images) through editing software to produce the final deliverables.
• To Fulfill Orders: We share specific data with trusted third-party labs (for prints) or cloud providers (for gallery delivery).
3. THE “AI” CLAUSE (Artificial Intelligence)
We value the integrity of human identity.
Punctual Lens Imagery® does not knowingly license, sell, or upload your biometric data (photographs) to public AI datasets for the purpose of training generative models. Your face remains your own.
4. COOKIES & ANALYTICS
• Privacy-First Analytics: We use privacy-focused analytics tools (such as Independent Analytics) that do not track your IP address or install invasive cookies on your device. We measure site performance without compromising your anonymity.
• Functional Cookies: Essential cookies may be used solely for the operation of the booking system or payment gateway.
5. DATA SHARING & THIRD PARTIES
We operate a strict “Need-to-Know” policy. We do not sell your data. Your information is shared only with:
• Cloud Storage Providers: To host your secure password-protected gallery.
• Professional Printing Labs: Only if you order physical products (Address/Image data only).
• Payment Processors: To securely handle transactions (we do not store credit card details).
6. DATA RETENTION
• RAW Files: Unedited files are retained for a limited period (typically 12 months) for backup purposes before deletion.
• Final Edits: Delivered JPEGs are archived for up to 2 years to facilitate re-download requests, after which they may be purged to ensure data hygiene.
7. YOUR RIGHTS
Under UK law, you have the right to:
• Request access to the personal data we hold.
• Request the deletion of your data (Right to be Forgotten), subject to our legal requirement to keep tax/invoice records.
• Withdraw consent for marketing communications.
